1·1·1 Essentials — Your Brain Wasn't Built to Be Your Filing Cabinet
Published 1 day ago • 9 min read
✨ From Scattered Captures to Organized Clarity ✨
One Insight · One System · One Aligned Step
⏱️ 3-Minute Essential Read — Designed for Streamlining Real Life
This is your 1-1-1 Essentials — a moment of clarity for people balancing work, life, and a constantly demanding digital world.
You don't need to optimize yourself. You need systems that support how your mind actually works.
No pressure. No perfection. Just thoughtful forward motion.
🧠 1 Insight — Why Your Brain Needs an External Memeory System
We've been exploring how to protect flow by reducing cognitive friction.
January: voice and music to access flow states. February: externalizing tasks and mental loops with AI prompts.
But here's the question:
"I'm externalizing everything... but where does it all GO?"
Meet three founders building businesses in 2026:
Sarah manages hospital operations by day, builds her wellness consulting business by night. Ideas captured across Slack, Apple Notes, bookmarks, voice memos. When she has time to work, she spends 30 minutes just finding what she captured last month.
David pivoted from booking flights to curating personalized travel experiences. He's researched hundreds of destinations. But when a client asks about Portugal, he wastes billable hours re-researching what he already knew.
Maya is a personal chef launching cooking workshops. Years of recipes in notebooks, phone photos, scattered notes. Planning her workshop means hours gathering knowledge or starting from scratch.
Same friction:
They externalized (good). No system to organize it (problem).
Brain still tracking: "Where did I save that?"
Flow can't happen when your brain is a filing clerk.
Your brain wasn't designed to store and track. It was designed to process and create.
In Tiago Forte's framework, this is building a "Second Brain" — a trusted external system where:
knowledge lives in one organized place
you find what you need when you need it
past thinking compounds into future insights
your brain gets freed from tracking
The shift:
Reducing friction isn't just about externalizing. It's about organizing what you've externalized so your brain can truly let go.
Building a Second Brain = creating conditions for sustained flow.
🤖 1 System — Your First Second Brain + AI Capabilities Beyond Prompts
Last month: LLM custom prompts for specific tasks. This month: AI capabilities that support your Second Brain.
Here's how Sarah, David, and Maya built their system — and how you can too.
System 1: Simple Structure (Your Foundation)
Have you tried using Google Drive lately to organize your ideas?
You probably already have it — it came with your Gmail account. But most people use it like a dumping ground: random docs, screenshots, downloads all mixed together.
What if, instead, you created one dedicated place where all your business thinking lives?
That's exactly what Sarah, David, and Maya did.
Sarah created:
/Ideas — wellness programs, business models
/Resources — health articles, research
/Projects — active client work, workshops
/Archive — completed packages
David created:
/Ideas — itinerary concepts, marketing
/Resources — destination intel, vendor contacts
/Projects — active client trips
/Archive — completed itineraries + feedback
Maya created:
/Ideas — workshop themes, recipe innovations
/Resources — techniques, sourcing guides, research
/Projects — active workshop development
/Archive — past menus, testimonials
Simple. Four folders. One place.
You can create this same structure in 5 minutes:
/Second Brain
/Ideas
/Resources
/Projects
/Archive
Why this works:
No complex setup
Clear categories
Room to expand
Works with AI tools
This is your foundation. Everything you externalize from now on? It has a home.
System 2: AI Organizing Helpers (Meet the Gems)
Now here's where it gets magical. ✨
Remember last month when we explored LLM custom prompts? Those specialized AI assistants designed for specific tasks — like The Priority Decoder and The Clarity Capture Assistant?
Well, different LLMs have different ways of creating those custom assistants:
ChatGPT calls them custom GPTs
Gemini (Google's AI) calls them Gems
You know ChatGPT, right? Well, Google has its own AI called Gemini — and it's free with your Google account.
You can find it at gemini.google.com.
But here's what makes Gemini special: it lets you create Gems — custom AI assistants you can save and reuse, like having little helpers tucked in your pocket. Each Gem can be designed for specific tasks: organizing notes, summarizing articles, brainstorming ideas.
Think of Gems as Gemini's version of custom GPTs — your personal organizing assistants, each with their own specialty.
For our Second Brain organizing, you can use Gemini itself or create a custom Gem designed specifically to help you file captures.
Let me show you how this works in real life:
For random thoughts:
Sarah's workflow:
Voice-captures during commute: "6-week stress resilience program for healthcare workers, breathwork + time management."
Later, she pastes it into Gemini:
Summarize in 2-3 sentences, suggest folder (Ideas/Resources/Projects/Archive), create filename (Topic_Date)
Some entrepreneurs manually piece together research from scattered searches.
Others use autonomous research agents — comprehensive, citation-backed reports automatically.
Sarah's proposal: neuroscience-backed (30 minutes, not 3 hours). David's intel: competitive edge in sales. Maya's workshop: grounded in research (more credible than "just recipes").
Not about working faster. About working smarter — staying in your zone of genius, not research rabbit holes.
I tested Deep Research with a query relevant to my work:
"What does neuroscience research say about cognitive overload, nervous system dysregulation, and founder burnout? How does digital overwhelm affect decision-making in high-achieving entrepreneurs?"
Below are screenshots of my using Perplexity's free version and how 30 sources were pulled to create this comprehensive research report:
In under a minute, Deep Research delivered a comprehensive report covering:
Core brain systems involved (prefrontal cortex, HPA axis)
How digital overwhelm degrades executive function and decision-making
Why 53% of founders experience burnout
Evidence-based strategies for nervous system regulation
30 sources synthesized automatically — from neuroscience journals, founder health studies, and business research.
Saved in /Resources/Cognitive_Overload_Founder_Burnout_Research_Feb2026 — ready to reference when writing, teaching, or buildingFounder's Compass.
Speaking of reducing cognitive overload: Founder's Why Compass helps you move from reactive decision-making to responsive clarity — using your nervous system as your guide.
This took under a minute of automated research. Manually compiling this? Easily 3+ hours.
That's the shift: AI does the research instantly. I save it organized. I build on it when I need it. Brain stops tracking "I should research that someday."
Free users: Limited access to test (a few strategic queries like this one). Pro subscribers ($20/mo): Extended use — worth it if Deep Research saves 2+ hours monthly.
The shift:
Sarah: No more 30-minute hunts. Opens /Ideas, everything's there. David: Answers clients in real-time, research organized. Maya: Workshop outline in 20 minutes, not hours.
Same friction. Same solution. Different businesses.
Your Second Brain isn't for one type of work.
It's for anyone whose brain is tired of being a filing cabinet.
(Discovered through White Beard's ADHD AI Superpower class.)
I've built my Second Brain for years. Perplexity Deep Research changed how I populate it.
Now: Launch research → comprehensive reports → save organized → USE later without re-researching.
The relief: Brain doesn't track "I should research that." AI researches. I save. I build.
Simple folders + AI capabilities = cognitive friction reduced.
(Currently in White Beard's NotebookLM training — making this system even more intelligent. More next month.)
💛 1 Aligned Application — Experience Your Second Brain Working
Before you start: Grab one thing you captured this week (a voice memo, a saved article, a half-formed idea).
Step 1: Create your home (5 minutes)
Open Google Drive. Create your /Second Brain folder with four subfolders: Ideas, Resources, Projects, Archive.
As you create each folder, notice: Does it feel like you're giving your thinking a place to land?
Step 2: Let AI help you organize (5 minutes)
Take that one capture. Open Gemini (gemini.google.com).
Ask:
Summarize this in 2-3 sentences, suggest which folder (Ideas/Resources/Projects/Archive), and create a filename.
Watch AI do the cognitive work of deciding "where does this go?"
Save it in the suggested folder.
Notice: Does your brain feel permission to let go of tracking this?
Step 3: Test autonomous research (Optional — 10 min setup)
Think of one strategic question for your business.
Open Perplexity Deep Research. Enter your question. Let it work.
When the report arrives, save it in /Resources.
Notice: What does it feel like to have research you didn't manually compile?
Step 4: Reflect
Are you Sarah — able to find ideas when you have time? Are you David — no longer re-researching what you already knew? Are you Maya — starting projects faster?
Your brain stops being a filing cabinet. It becomes what it's designed for: a creator.

🔗 Going Deeper This Month
Next: why storage alone isn't enough — how AI helps you RETRIEVE and SYNTHESIZE so your Second Brain becomes more than a filing system.
(Hint: NotebookLM — turning organized notes into conversational, reusable knowledge.)
Organize what you're holding. Let your brain stop tracking. Trust that clarity lives in external systems that work.

When a Woman Named the Bug In 1947, Grace Hopper's team cracked open a failing Harvard Mark II computer and found a real moth lodged in the relay. They taped it into the logbook with a note: "first actual case of bug being found." That small act of naming — with humor, with precision, with zero apology — helped popularize debugging culture and a cornerstone of women in computing history. Grace didn't panic at the glitch. She documented it, learned from it, and moved forward. The AI tools we...

✨ Trust Over Flattery Have you ever had a conversation where everything the other person said sounded right — supportive, encouraging, a little too perfectly attuned to what you wanted to hear — and something in you still felt off? Not wrong exactly. Just too smooth. Like you were being flattered rather than helped. Like you were sitting across from someone playing a hand you couldn't quite see. There's a word for that in AI. It's called sycophancy. Sycophancy is when an AI system tells you...
